Description:

A federal agency in San Francisco is seeking a highly professional and service-oriented Receptionist to support their front desk operations. This role requires exceptional communication skills, strong attention to detail, and the ability to work effectively in a secure, fast-paced environment. The Receptionist will be responsible for greeting visitors, managing incoming calls, and providing a range of administrative support services to office leadership and staff.

Key Responsibilities

Reception & Visitor Management

  • Screen and direct incoming telephone calls and walk-in visitors to the appropriate staff.
  • Access the automated case-tracking system to identify the assigned attorney for callers and visitors.
  • Control and monitor access to the office while adhering to all federal security regulations governing visitor entry.
  • Promptly notify appropriate management of any potential or observed security issues.
  • Accept incoming correspondence and packages, ensuring timely notification to recipients.
  • Receive and process faxes, verifying page counts and informing addressees.
  • Coordinate outgoing packages and ensure messenger pickups occur as scheduled.
Administrative Support

  • Open, date-stamp, and process all incoming mail; distribute mail to staff accordingly.
  • Deliver metered mail to designated drop locations within the building.
  • Manage scheduling for conference rooms and deposition rooms.
  • Issue transit passes to office personnel traveling to the branch office.
  • Place service or trouble calls for copiers, office thermostats, lighting, and other office equipment or facilities as needed.
  • Log checks routed to the Unit.
  • Escort visitors or personnel as required.
  • Perform a variety of clerical tasks, including preparing correspondence, photocopying, data entry, placing phone calls, and taking messages.
Qualifications

  • Prior receptionist, administrative, or customer service experience preferred-government or legal office experience is a plus.
  • Strong interpersonal skills and a professional demeanor.
  • Ability to manage confidential information and comply with federal security guidelines.
  • Proficiency in common office software and willingness to learn internal systems.
  • Strong organizational skills and the ability to multitask in a busy environment.
