The PopHealth Learning Center ("Learning Center") is a California Social Purpose Corporation (SPC) committed to transforming how health care is delivered and experienced across California. The Learning Center is focused on strengthening the primary care capabilities and infrastructure required to advance population health outcomes and reduce health disparities. This includes designing and managing large-scale practice transformation initiatives, delivering technical assistance through virtual learning environments and peer-based engagement, and supporting alignment across systems, funders, and care delivery partners.

The Administrative Assistant will play a pivotal role in supporting the Learning Center's mission and daily operations. Acting as a cornerstone of our team, this individual will provide high-level executive support, ensure smooth office administration, coordinate engaging events, and contribute to key organizational projects. This is a dynamic position that extends beyond traditional administrative duties and offers the opportunity to be part of a collaborative, purpose-driven environment where initiative, creativity, and professional growth are encouraged. Responsibilities include:

Strategic Support for Leadership Team:

  • Serve as the administrative lead in scheduling meetings for our executive team with external partners and stakeholders.

Office Administration:

  • Oversee the office environment to ensure the office is well supplied and runs smoothly and effectively. Coordinate and manage on-site vendors as needed.

Event Management:

  • Take the lead in planning and executing organizational eventsstaff meetings, retreats, holiday eventsfrom concept to completion, including scheduling, vendor procurement, travel arrangements, logistical support, and day of coordination.

Project Coordination:

  • Ad hoc support for special projects. Organize technology (i.e., Zoom) and logistical support for implementing virtual training events, including registration set-up, scheduling meetings with external faculty, and data entry and reporting of survey evaluations in collaboration with the Program Associate.

Communication and Material Preparation:

  • Support the design, development, and distribution of communication materials ensuring consistency with organizational branding and strategic messaging.

Team and Culture Building:

  • Foster a collaborative and inclusive environment that supports professional growth and development.
  • Promote a culture of continuous improvement by identifying opportunities to enhance processes, systems, and team capacity.
  • Act as a cultural steward, ensuring the Learning Center's values of equity, inclusion, and collaboration are reflected in the team's work and interactions.

Preferred Skills and Qualifications Including:

  • Associates degree
  • A minimum of two years working as an Administrative Assistant or similar role.
  • Highly resourceful team player, with the ability to work independently and make decisions with minimal supervision.
  • Exceptional problem-solving skills
  • Excellent verbal and written communication
  • Excellent time management and organizational skills
  • Intellectual curiosity, growth mindset, and tenacity to get the job done
  • Strong technology aptitude and a quick learner of new systems; proficiency in both Microsoft Office and iOS preferred

Applications will be evaluated on a rolling basis. California residents are strongly preferred (San Francisco/Oakland/East Bay preferred). Compensation & Benefits: The salary range for this position is $75,000 $105,000.
