Description:

Our client, a leading global investment organization is seeking a highly skilled Executive Assistant to provide administrative support to senior executives in the Menlo Park office. This role requires exceptional professionalism, strong judgment, and the ability to manage complex workflows in a fast‑paced environment. The ideal candidate thrives in a fully onsite setting and excels at anticipating needs, managing priorities, and delivering high‑quality work with accuracy and discretion.

Base pay range

$35.00/hr - $39.00/hr

Key Responsibilities

Administrative & Executive Support

  • Provide backup support to multiple teams; understand each Assistant's workflow to ensure seamless coverage.
  • Manage complex and fluid executive calendars, including meeting coordination and schedule adjustments.
  • Draft, edit, proofread, and finalize correspondence, email communications, and professional documents.
  • Review and prioritize incoming mail and email; respond independently based on executive direction.

Travel & Expense Management

  • Plan and coordinate domestic and international travel; produce detailed itineraries and logistics packets.
  • Prepare accurate expense reports in compliance with firm policies and deadlines.

Meeting & Event Coordination

  • Schedule and coordinate meetings, reserve rooms, prepare materials, and organize hospitality as needed.
  • Anticipate meeting requirements and proactively identify potential calendar conflicts.

Reception & Office Support

  • Provide afternoon reception desk coverage on a rotational basis.
  • Support junior executives with administrative needs as required.

Cross-Functional Collaboration

  • Serve as a liaison with internal teams, portfolio companies, investors, and external partners.
  • Uphold professional standards and maintain strict confidentiality at all times.
  • Support colleagues and contribute to a collaborative, team‑oriented environment.

Must-Have Qualifications

  • 5+ years of Executive Assistant experience supporting high‑level executives.
  • Advanced proficiency in Microsoft Outlook, Excel, and the full MS Office Suite.
  • Ability to work onsite 5 days per week in Menlo Park.
  • Experience handling confidential information with professionalism and discretion.
  • Strong written communication, organizational skills, and the ability to manage shifting priorities.
  • Demonstrated ability to handle high-volume workloads and meet tight deadlines.

Nice-to-Have

  • Executive Assistant experience in Private Equity, Investment, Financial Services, or similar industries.
