Overview

Under direct supervision and guided by the procedures of UCSF Dental Center, the Practice Coordinator II provides support to the Dental Center Oral and Maxillofacial Surgery (OMFS) clinics. The Practice Coordinator handles reception, registration, and patient processing in the OMFS clinics and serves as the direct liaison between patients and the services they receive at the clinics in any level of care.

The Practice Coordinator works as a team member and maintains a professional and courteous demeanor. The role requires compliance with UCSF and School of Dentistry standards and the ability to deliver excellent customer service with patients and staff. The Coordinator must be able to perform and prioritize multiple tasks and work well with staff, students, patients, and providers. The position may require work at various clinic locations as needed, including weekends and evenings, and may support other Dental Center clinics as needed. Salary and offer components are subject to UC policy and internal equity considerations. The salary range is $29.68 - $42.48 per hour.

Responsibilities

  • Provide reception, registration, and patient processing support in OMFS clinics.
  • Serve as the liaison between patients and clinic services across all levels of care.
  • Maintain professional, courteous interaction with patients, staff, students, and providers.
  • Work at multiple clinic locations as needed, including weekends and evenings; may support other Dental Center clinics.
  • Possess strong multi-tasking and prioritization skills to manage workload effectively.
  • Comply with UCSF policies and standards for professional conduct and customer service.

Required Qualifications

  • High School graduate or equivalent with 2 years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience with appointment scheduling.
  • Ability to analyze situations, prioritize, develop solutions, and make recommendations.
  • Ability to work independently at the reception desk.
  • Ability to use good judgment and work independently under deadlines.
  • Excellent customer service and communication/interpersonal skills, both over the telephone and in person.
  • Able to sit at a computer terminal with telephone headphones for extended periods.
  • Basic math skills; strong computer skills including basic keyboarding and experience with Microsoft Word and Excel.
  • Proven ability to deal with a wide variety of individuals and to work with sensitive situations with ill patients.
  • Excellent organizational and problem-solving skills; strong writing skills to compose, edit, and proof a wide variety of documents.
  • Demonstrated administrative/office coordination skills.

Preferred Qualifications

  • Experience in healthcare (medical, dental, or veterinary) in areas such as patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
  • Prior experience with appointment, ancillary service, or surgical scheduling, or a combination of all three.
  • Bi-lingual or multi-lingual capability (Spanish, Cantonese, and Russian) strongly preferred.
  • Prior experience with EPIC/Axium.
