Research Administrative Coordinator – University of California, San Francisco – San Francisco, CA (Mission Bay)
Job Summary
The Research Administrative Coordinator will be an integral part of a team on the cutting edge of research including new therapies and other interventions for neurodegenerative brain diseases. We are seeking a detail-oriented and proactive individual who will use professional concepts to apply organizational policies and procedures and oversee a variety of ongoing administrative operational functions.
Responsibilities
- Calendar Management: Coordinate and manage complex calendars for a research program manager, a clinical trials nurse manager, and MDs within the lab as needed. This includes scheduling meetings, appointments, and conference calls.
- Communication: Serve as the primary point of contact for internal and external inquiries, including high-level professionals and potential research participants, ensuring timely and professional correspondence. Manage inboxes on behalf of a study executive team and create/distribute internal newsletters to study sites across the nation.
- Documentation and Reporting: Prepare and format reports, presentations, and other documentation as needed. Audit existing resources and build a strategic document management plan.
- Travel Coordination: Arrange travel logistics, accommodations, and itineraries for domestic and international trips. Additionally, manage post-travel expense reimbursements and reconciliation for internal and external parties.
- Meeting Support: Organize meetings, including preparing agendas, taking minutes, and following up on action items. Drive the planning, coordination, and execution of virtual and in-person investigator meetings.
- Budget Tracking: Assist in monitoring and processing expenditures against budgetary limits.
- General Administrative Tasks: Provide general administrative support such as filing, basic IT support, and office supply management.
Required Qualifications
- Bachelor's degree in a related area and/or equivalent experience/training.
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
- Solid organizational skills and ability to multi-task with demanding timeframes.
- Working knowledge of Microsoft Office applications like Outlook and Word.
- Excellent demonstrated record of attendance and reliability.
- Ability to use discretion and maintain confidentiality.
- The ability to conduct oneself in a highly professional manner.
- Proven ability to work collaboratively with other cross-functional teams and establish cooperative working relationships with patients, co-workers, and physicians.
Preferred Qualifications
- Experience with surveys and presentations including related software (e.g., Qualtrics, Excel, PowerPoint, etc).
Salary
The salary range for this position is $29.05 – $53.50 hourly.
