Job / Program Description

Under the direction of the Fiscal Director, the Accounting Assistant provides administrative support across a variety of accounting transactions such as invoices, billings, accounts payable and expenses in accordance with department procedures. Responsibilities include maintaining accounting files, verifying data, entering data into computerized accounting systems, researching queries, generating reports, and performing related clerical duties in support of accounts payable and receivable.

Essential Job Duties

  • Support AP and AR, including obtaining approval of vendor invoices, coding, data entry, and processing payments in SAGE 100.
  • Process employee expense reports and reconcile advance payments with staff.
  • Perform monthly bank reconciliation and reporting.
  • Maintain bank balances in Excel.
  • Maintain all files and records in an organized manner following policies and procedures.
  • Prepare audit files; provide support and gather necessary account information and documents for external auditors and reviews.
  • Provide support to the Sr. Accountant, Payroll Specialist, and the Fiscal Director as needed.

Required Skills

  • Attention to detail and organized.
  • Fast keyboard typing.
  • Knowledge of payroll, accounts payable, generally accepted accounting principles, and cash management.
  • Experience with A/P, A/R, and bank reconciliation.
  • Ability to organize, prioritize, and keep filing and work product up‑to‑date.
  • Solid accounting background; knowledge of SAGE 100.
  • Proficient with Microsoft Office Suite, including Excel.
  • Excellent oral and written communication, strong organizational and interpersonal skills.
  • Strong analytical, research, problem‑solving, and evaluative thinking skills.
  • Strong interpersonal skills and ability to work well with others.

Preferred Skills

  • Bi‑multicultural competency.
  • Experience in a non‑profit community agency and knowledge of community resources in the San Francisco Bay Area.
  • Ability to work in a crisis, fast‑paced, collaborative environment.

Education, Certification, and Licenses

  • AA Degree in Accounting, Finance, General Business, or equivalent.
  • One to three years of general accounting experience in administrative accounting support, reporting, and reconciliation.

Conditions of Continued Employment

  • Must pass and maintain annual Tuberculosis Test (TB).
  • Must pass Department of Justice Fingerprint screening.

Compensation and Benefits

Full‑time exempt position (35 hours/week). Annual hourly salary: $32.00 – $35.00, commensurate with experience, qualifications, and education.

Physical Demands

  • Good general health, physical stamina, and emotional stability.
  • Ability to hear within normal range and communicate effectively with diverse populations.
  • Capacity to sit at a keyboard for long periods and perform word processing with speed and accuracy.
  • Ability to respond to emergencies or potentially dangerous situations, including quick movement within the building.
  • Travel to various off‑site venues may be required; ability to use public or private transportation.
  • Ability to work outdoors in various weather conditions.
  • Occasional lifting up to 35 lbs.
