Description:

We are searching for an enthusiastic Accounting Administrative Assistant to join our client in the San Francisco! If you're a self-starter who thrives in a fast-paced environment, apply today! Job Description:

  • Process and apply all incoming checks, wire transfers and ACH payments
  • Deposit all incoming checks via mobile banking
  • Create all new projects codes and update Active Project Reports
  • Create all monthly hours and reimbursables buckets for billing and upload drafts for team review
  • Process and generate all client invoices: furnishings, monthly hours invoices and reimbursables invoices
  • Update client budgets, client payment summary and client retainer reports and make sure all reporting are all up-to-date
  • Process and generate client refunds
  • Generate client reports as requested such as Estimated Funds report, quarterly capital non-capital reports, etc.
  • Process and print all accounts payable checks and wire transfers
  • Print and process all final vendor invoices to close out orders correctly and timely
  • Process, code, and file all reimbursables invoices
  • Process all office expenses and all employee expense reports
  • Reconcile monthly credit card statements and ensure all receipts and necessary back-up is accounted for and journalize all activities in Accounting System
  • Process all vendor refunds and "job costs"
  • Flag and clarify any unusual or questionable invoice items or price differences and follow up on any discrepancies in a timely manner with the Design team

Requirements:
  • Excellent verbal, written and interpersonal communication skills
  • Able to communicate with professionals at all levels
  • Able to communicate complex information to a variety of audiences

Experience:
  • 3-5 years Accounts Receivable and Accounts Payable experience
  • Knowledge in Accounting or Finance, General Office
  • Basic knowledge & understanding of debit/credit entries
  • Knowledge of Excel Basic Formulas
