Administrative Assistant

The City of Richmond is seeking a dedicated and detail-oriented Administrative Assistant to join our dynamic team. This position offers an exciting opportunity to play a central role in supporting the day-to-day operations of one of our key departments, ensuring that essential public services run smoothly and efficiently.

This class is a para-professional administrative classification. Incumbents perform various administrative assignments for operating departments and report to a division or department head. The ideal candidate will possess:

  • Knowledge of municipal operations and administrative procedures
  • Ability to assist with social media tasks as needed

  • Gathers data, maintains records, and prepares summaries and/or recommendations.
  • Provides administrative support, including scheduling meetings, coordinating events and travel, preparing reimbursements, and responding to customer inquiries.
  • Maintains and accounts for office and departmental unit stocks and supplies. Requisitions materials and supplies, and maintains inventory records.
  • Designs promotional flyers, completes data input, and edits documents for dissemination.
  • Greets and assists visitors at reception area, and responds to inquiries via telephone, email, or walk-in.
  • Administers the carrying out of contracts for various services.
  • Assists with the preparation of resolutions, technical and staff reports, and collecting supporting documents for City Manager, City Council, City boards or commissions, and other internal and external entities.
  • Assists with preparing recommendations for division budget allocations.
  • Performs related work as required.

Required Education and Experience:

  • At least two (2) years of relevant college-level course work, or an Associate's degree from an accredited college or university in Business, Public Administration, or a related field
  • Administrative experience is desirable
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities

Required Licenses or Certifications:

  • Must be able to travel to various locations within and outside of Richmond to meet program needs and to fulfill the job responsibilities. When driving on City business, maintenance of a valid California driver's license and satisfactory driving record is required.

COVID-19 Vaccination Requirement:

  • The City's policy is that all persons hired on or after October 18, 2021, must be fully vaccinated, including the booster, for COVID-19.
