Job Purpose

The purpose of the Leasing Manager is to lease apartments, retain residents through customer service, and handle administrative and financial responsibilities for the assigned community. The Leasing Manager will train, manage and coach a group of leasing professionals.

Primary Functions

  1. Leasing Responsibilities
    1. Manage leasing professionals to ensure leasing procedures are followed on a daily basis. Train new leasing professionals.
    2. Manage availability guidelines.
    3. Review leasing follow‑up weekly.
    4. Provide weekly reports to management concerning previous week's traffic and leases through communication with leasing professionals and surveying area competitive properties.
    5. Resolve leasing issues with apartments, applicants and residents.
    6. Coordinate resident renewals with leasing professionals.
    7. Act as liaison between management and leasing staff for rental rates and updates.
    8. Receive incoming phone calls from prospects professionally and in a welcoming manner, entice them to visit the community, check the answering service for messages, and follow up on all messages as necessary.
    9. Visually inspect entire property (office, models, compactor, vacant units and amenity areas) daily for cleanliness and overall appearance, including picking up trash, operating the trash compactor, carrying cleaning supplies, vacuuming, and cleaning apartments to resident‑ready standards.
    10. Lease apartments to qualified prospects.
    11. Schedule move‑ins to minimize rent loss.
    12. Escort future residents to apartment homes and amenity areas.
    13. Drive a golf cart or walk with prospects.
    14. Prepare all paperwork needed before submitting lease files for verification.
    15. Verify applications and process files quickly through phone calls and correspondence, submit to manager for approval, and set up file for move‑in.
    16. Turn in traffic and phone recap weekly to the Community Director.
    17. Follow up with each visitor within 24 hours via personal phone call and send a personal note/email within seven days of their visit.
    18. Handle any other projects or assignments given by the Community Director or Regional Director.
  2. Marketing
    • Perform marketing outreach to area businesses and large companies.
    • Attend Chamber and area functions on behalf of the community.
    • Assist in development of marketing materials.
    • Obtain approval for ordering of marketing supplies/giveaways.
    • Develop and maintain corporate relationships.
    • Update community website with rental rate updates.
    • Perform bi‑weekly market surveys.
    • Assist management/owners with special marketing projects.
  3. Customer Service Responsibilities
    • Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling.
    • Read and/or listen to resident requests/complaints.
    • Receive resident complaints in a calm and open manner.
    • Resolve resident conflict.
    • Carry and deliver flowers, newsletters, correspondence, etc. to residents' apartments when necessary.
    • Coordinate, set up, attend, and clean up after resident functions (food, tables, display areas, etc.).
    • Use effective negotiation tactics to retain residents in order to renew lease terms.
    • Prepare monthly community newsletter/calendar for residents.
  4. General Office/Administrative Responsibilities
    • Coordinate leasing professionals' schedule for Saturday work and general office responsibilities.
    • Immediately contact the Community Director or Regional Director regarding any emergencies.
    • Conduct move‑in, move‑out, and turnkey inspections and follow through with any concerns.
    • Maintain key‑closet procedures to ensure proper control of access and security on the property.
    • Receive and acknowledge resident notices and prepare files.
    • Maintain dress code as outlined in the policy manual and ensure the leasing team adheres to the policy and uniform schedule.
    • Assist in lease renewal procedures:
      1. Complete lease renewal printout and submit to Community Director for approval.
      2. Contact each resident by phone 75 days before the end of their initial term.
      3. Send renewal letters to residents who cannot be reached by phone.
      4. Type new leases.
      5. Follow up on any promises made at the time of renewal.
    • Assemble move‑in packages.
    • Keep all filing current.
    • Operate office alarm system in conjunction with opening and closing the office.
    • Deliver thorough move‑in presentation to new residents.
    • Calculate daily rent, prorate charges, late fees and percentages.
    • Write up all maintenance requests upon receipt.

  • Assertive attitude and ability to effectively close a sale.
  • Must pass drug screening test.
  • Ability to manage and coach a team of leasing professionals.
  • Valid driver's license.
  • Experience leasing properties and managing current residents, using industry software such as Knock, Onesite, and AIRM.

Job Classification

Non‑exempt. Paid coefficient overtime for all hours worked over 40 each week.

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands to finger, type, handle or feel objects, talk, and hear. The employee is frequently required to stand, walk, reach with hands and arms, climb, stoop, and squat. The employee is intermittently required to sit. Incumbents must be able to physically access all exterior and interior parts of the property and amenities. Leasing professionals must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
