Overview

Base pay range: $40.00/hr - $50.00/hr. Beacon Hill's client, an AmLaw 100, is seeking a Legal Secretary to support their San Francisco office. The temporary Legal Secretary will provide professional and administrative support to assigned attorneys, including potential support for members of the firms Executive Committee and/or Management Board.

Location: San Francisco, CA 94111 (Hybrid - 3 days in-office, 2 days remote.). The position is 37.5 hours per week, with possible overtime. Start: ASAP. Duration: 1+ months. Pay: $40-$50/hour, depending on experience.

Responsibilities

• Assemble and handle confidential and sensitive information; resolve issues involving internal and external clients by phone or in person.
• Substantive edits and preparation of client bills.
• Maintain calendar of meetings, appointments, business travel, and special events; coordinate meetings, conferences, or special events and prepare related materials.
• Compose and format legal documents, reports, and presentations; proofread for accuracy, spelling, punctuation, and grammar.
• Collect, enter, and edit time for client billing; coordinate domestic and international travel; prepare, submit, and track travel and expense reimbursements.
• Prepare firm communications, correspondence, and presentations in collaboration with Marketing or other resources.
• Receive and screen telephone calls; refer matters to appropriate staff; manage mail distribution.
• Assist firm leadership, practice group leaders, and/or business managers with administrative or operational tasks; maintain physical and electronic filing systems.
• Understand firm policies and procedures; assist attorneys or staff with team support as needed; perform other duties based on the unique practice of assigned attorneys.

Qualifications

Experience

• 7+ years of administrative experience required.

Education

• High School Diploma or GED required.
• AA, BA/BS degree, or equivalent specialized training is a plus.
• Bilingual skills are a plus.

Knowledge, Skills, and Abilities

• Demonstrated high level of client service to internal and external clients.
• Ability to follow directions and work independently or with others; cooperative, enthusiastic, and friendly demeanor.
• Proficiency in MS Office for producing memos, spreadsheets, presentations, and standard legal documents.
• Strong command of English language, including spelling, grammar, and punctuation.
• Clear oral and written communication; attention to detail and efficiency.
• Ability to adapt to changing priorities and manage workload; coordinate multiple initiatives.
• Analytical thinking and problem-solving with ability to apply precedent or extrapolate from experience.
• Discretion in handling confidential information; poised, tactful, and diplomatic.
• Professional conduct and ethics; basic knowledge of legal terminology and procedures; general knowledge of documents and standard office equipment.
• Typing speed of 80 words per minute; willingness to work overtime; ability to lift up to 25 lbs.
