We are seeking a sharp, proactive Executive Assistant to support the COO and Chief Product Officer of a rapidly growing tech/software startup in San Francisco, CA. As a key partner to leadership, you'll manage complex schedules, coordinate high-level communications, and ensure seamless operations in a fast-moving environment. The ideal candidate thrives under pressure, anticipates needs before they arise, and builds strong relationships across teams and external partners.

Responsibilities

  • Manage complex calendars, coordinate meetings, prioritize appointments, and optimize time efficiency.
  • Organize materials, draft agendas, and prepare presentations to ensure executives are well-equipped.
  • Act as the primary liaison for internal and external stakeholders, handling correspondence with discretion and professionalism.
  • Plan and manage detailed travel itineraries, including flights, accommodations, and logistics, proactively addressing any issues.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Partner with Office Manager to ensure seamless executive support and business operations.
  • Support key initiatives by collaborating with cross-functional teams to drive efficiency and execution.

Qualifications

  • 5+ years of experience as an Executive Assistant to C-suite executives, preferably a CEO or cofounder.
  • Proven ability to manage complex calendars, travel logistics, and high-level communications.
  • Exceptional organization, time management, and attention to detail.
  • Strong interpersonal and communication skills to build rapport across teams and external partners.
  • Ability to multitask in a fast-paced environment with shifting priorities.
  • Proficiency in Google Workspace, Slack, and expense reporting tools.
  • Discreet, proactive, and adaptable with a problem‑solving mindset.
  • Experience in project management and event coordination is a plus.

Location: onsite in San Francisco, CA

Compensation and benefits: up to $175K depending on experience, full benefits package, equity, and additional perks are included.
