Admin Associate - Sr. Staff
Location: Hercules, CA (Hybrid (T-Th onsite)
6-month W2 Assignment (potential to extend / convert)
Pay: $36.50/HR

On behalf of our client, a leading manufacturer and seller of products for the life science research and clinical diagnostics markets, we are seeking an Administrative Associate for Indirect Procurement within the Global Supply Chain Organization. This role supports procurement operations through vendor data management, requisition processing, and invoice coordination while ensuring accuracy, compliance, and efficiency in a fast-paced, global environment.

Responsibilities:
Morning:

  • Review and prioritize new purchase requisitions, ensuring all documentation is accurate and complete before processing.
  • Update and maintain vendor master data for indirect vendors within SAP, with a focus on accuracy and data integrity under Master Data Governance standards.
  • Coordinates with internal teams to obtain necessary supplier documentation and validate compliance before vendor setup or changes.
Midday:
  • Monitor and manage purchase requisitions and orders throughout their lifecycle, maintaining close communication with vendors and internal stakeholders to track order status, resolve discrepancies, and address urgent procurement needs.
  • Handle invoicing management tasks to ensure timely and accurate payments, following up on outstanding invoices and maintaining strong vendor relationships.
Afternoon:
  • Generate procurement and spend reports to support management decision-making, identifying cost-saving opportunities and process improvements.
  • Administer and manage corporate online ordering accounts.
  • Collaborate with cross-functional teams to streamline workflows and maintain alignment with procurement objectives.
What You Bring:
  • Education: Associate degree (A.A.) or equivalent in Business, Procurement, Supply Chain Management, or related discipline preferred.
  • Experience: Minimum of three years of experience in administrative and procurement roles, preferably within an SAP Master Data Governance environment.
  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and SAP, with a strong understanding of core procurement principles.
  • Decision-Making: Demonstrated ability to make independent decisions and manage priorities effectively in a dynamic environment.
  • Communication: Excellent written and verbal communication skills with the ability to collaborate effectively across departments and with external vendors.
