Operations and Strategic Projects Manager

The Department of Medicine (DOM) is seeking an innovative and resourceful operations and strategic projects manager to join its central administration team. This role serves as the operational manager for the central staff unit and is also responsible for advancing strategic initiatives in areas such as space, IT, and other high-level departmental priorities.
Responsibilities
- Provide day-to-day leadership for the central staff unit, including managing personnel actions (recruitment, compliance, performance, and retention) and developing team goals that support operational needs and staff development.
- Collaborate with the director of staff experience to foster engagement, develop staff, balance workloads across project and program managers, and ensure deadlines and quality standards.
- Directly manage projects as needed and serve as a backup for project managers in the Chair's Office.
- Develop and implement tools to enhance efficiency across divisions, standardize best practices, and act as the primary liaison for campus-wide operational initiatives.
- Lead special projects from conception to completion, engage stakeholders at all levels, and ensure successful delivery.
- Collect and analyze data to inform decision-making and produce presentations, training materials, FAQs, and data-driven reports for DOM leadership and divisions.
- Contribute to training curriculum and professional development resources for administrative officers across the department.
- Oversee space and facilities in collaboration with the manager of space, facilities and research initiatives; serve as departmental contact for divisional space needs, from allocation to long-term planning.
- Maintain up-to-date records of space utilization and support UCSF-wide space planning for campuses including Parnassus and Mission Bay.
- Lead IT solutions, including AI technologies and audio/ videoconferencing systems; devise creative solutions, manage budgets and deliverables, and develop proposals for evolving IT needs.
- Provide HR-related support for the central unit (job postings, recruiting, onboarding) and assist with training of administrative staff; provide temporary high-level administrative support to divisions as needed.
- Work independently to manage multiple projects with competing deadlines; demonstrate strong self-motivation, communications, and advanced project management skills.
Qualifications
- Bachelor's degree in a related area and/or equivalent experience/training
- Minimum 6+ years of directly relevant experience
- Minimum 5+ years of lead/supervisor/manager experience
- Certified Project Manager (e.g., PMP, CSM, PMI-ACP, etc.)
- Advanced analytical/problem-solving skills
- Strong communication and interpersonal skills to engage all levels of staff and influence verbally and in writing
- Advanced affective skills including reflective practice, emotional intelligence, and trust-building for stakeholder relationships
- Advanced project management skills
- Ability to multi-task with demanding timeframes and maintain confidentiality
- Advanced knowledge of policy analysis techniques
- Competence in data analysis, reporting and delivery
- Advanced skills in short- and long-term strategic planning
- Experience in managing and motivating people; supervisory competency in performance management
- Understanding of academic medicine, scientific research processes, academic cycles, and compliance ecosystems
- Advanced knowledge of common computer applications (e.g., Microsoft Office Suite)
Preferred Qualifications
- Master's degree preferred
- Knowledge of laws/regulations related to health and safety for compliance in HR actions, technology & data governance, and space & facilities
- UCSF, healthcare, or university experience
- Experience coordinating and supervising complex, large-scale moves
- Facilities management experience in healthcare, research, or academic environments
License/Certification
- Certified Project Manager (e.g., PMP, CSM, PMI-ACP, etc.)
