JOB OVERVIEW

The Experienced Executive Assistant role will offer support primarily to EPIC's Executives out of our San Francisco office. A successful candidate will have previous C-level support experience in a fast-paced, entrepreneurial environment.

LOCATION

San Francisco, CA - Must be able to work in‑office 4‑5 days a week.

WHAT WE'RE LOOKING FOR

  • REQUIRED: Candidates with at least 5+ years of experience supporting C-level executives.
  • Strong communication skills – written and verbal – who enjoy working with people and anticipating clients' (internal and external) needs.
  • High level of confidentiality, with the ability to handle high‑profile matters and clients with discretion and sensitivity.
  • Enjoy being a go‑to and adept at handling unique situations, asking thoughtful questions, and being a critical thinker and problem solver.
  • Time‑management and organizational guru! Responsible for scheduling and communications between internal and external clients; agile to pivot between tasks and priorities.
  • Strong professional technical skills.

WHAT YOU'LL DO

  • Managing calendars, coordinating travel internally and externally, event management, and preparing expense reports.
  • Experience working with high‑level executives and managing highly sensitive, confidential information with discretion.
  • Exceptional ability to prioritize, streamline, and monitor day‑to‑day transactions of a busy executive, handling high volume of calls, e‑mails, and communication flow.
  • Respond to urgent requests outside normal business hours.
  • Coordinate internal and external meetings including team meetings, staff meetings, all‑hands meetings, off‑site meetings, and one‑on‑one meetings.
  • Excellent verbal and written communication skills; present ideas clearly and concisely.
  • Submit and reconcile expense reports for the RM President and other Practice Leaders.
  • Coordinate domestic and international travel within EPIC's travel policy; handle complex travel arrangements for clients.
  • Team player reflecting EPIC's core values of people‑first, innovation, respect, responsibility, adaptability, community, alignment, confidence, humility, and fun.
  • Liaise with executive/senior assistants to oversee requests and queries from senior managers.
  • Act as the point of contact for internal and external clients.
  • Attend mandatory internal training classes.
  • Lead special projects when requested.
  • Other projects as assigned.

WHAT YOU'LL BRING

  • Customer service‑oriented with poise and professionalism.
  • Strong relationship management skills; ability to build a personal network throughout the company.
  • Advanced knowledge navigating the Internet and various Microsoft Office programs (Windows, Outlook, Word, PowerPoint, Publisher, Excel).
  • Strong attention to detail and time‑management skills.
  • Strong ability to multi‑task and assign priorities.
  • Work effectively and efficiently with or without direct supervision.
  • Excellent problem‑solving and decision‑making skills.
  • Strong interpersonal communication skills, both written and oral.

EDUCATION AND EXPERIENCE

  • Executive Assistant experience required, ideally C‑level executive.
  • Must have working knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Must be able to work in a fast‑paced environment, juggling multiple tasks.
  • High level of interpersonal skills to manage sensitive and confidential situations; teamwork, responsiveness, poise, tact, diplomacy.

COMPENSATION

The national average salary for this role is $105,000.00–$115,000.00 in base pay, exclusive of bonuses or benefits. Base pay will be determined by experience, skills, training, and education, while considering internal equity and market data.
