Overview

Administrative Manager role at University of California, San Francisco (UCSF).

The position involves managing a wide range of administrative functions crucial to the department's operations, including supervising daily administrative tasks such as patient scheduling, registration, and insurance authorization. It includes providing training and orientation to administrative staff, monitoring performance, handling HR-related activities (performance evaluations, hiring, disciplinary actions), and developing policies and procedures to improve administrative efficiency. The role also involves managing office spaces and serving as a liaison for administrative staff in resolving escalated issues. The successful candidate will work closely with the O&P Division Director to expand administrative operations of the O&P Center across the UCSF Health System and will be a key member of the O&P Executive Leadership Team.

Responsibilities

  • Supervise daily administrative tasks within the department to ensure efficiency and compliance with internal standards and external regulations.
  • Provide training and orientation to administrative staff; monitor performance; conduct HR-related activities (evaluations, hiring, disciplinary actions).
  • Develop and implement policies and procedures to improve administrative efficiency.
  • Manage office spaces and serve as a liaison for administrative staff to resolve escalated issues.
  • Collaborate with the O&P Division Director to expand administrative operations across the UCSF Health System; contribute as a key member of the O&P Executive Leadership Team.

Qualifications

  • Required: Bachelor's degree in a related area and/or equivalent experience/training.
  • Nine (9) or more years of related work experience.
  • Two (2) or more years of leadership experience.
  • Demonstrated supervisory and organizational skills for clinic/center administration; ability to manage complex workflows and multiple priorities.
  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, billing systems, information systems, patient service standards, and regulatory requirements and best practices.
  • Detail-oriented with analytical and critical thinking abilities; able to quickly analyze problems and implement solutions.
  • Proven ability to organize, manage multiple priorities, and delegate effectively.
  • Strong interpersonal, written, and verbal communication skills; ability to train and mentor staff and convey complex information clearly.
  • Ability to work independently with good judgment in a complex environment.
  • Preferred: Knowledge of HR management policies and experience training, monitoring, evaluating, and documenting HR issues; familiarity with bargaining issues/employee and labor relations.
  • Knowledge of orthotics and prosthetics industry.
  • Experience with union-related matters and labor relations.

The final salary and offer components are subject to UC policy approvals. Placement within the salary range depends on experience and internal equity. For represented positions, placement follows the collective bargaining agreement rules. Salary range: $100,100 - $164,000 (Annual).
