Overview

We are seeking a highly motivated and experienced Executive Assistant (EA) to support Managing Directors and senior leaders within our Private Equity Performance Improvement (PEPI) – Technology Industry Group (TIG). This individual will serve as a strategic partner, ensuring seamless day-to-day operations, while helping the team deliver gold-standard work for our clients. The EA will be a key liaison across internal and external stakeholders and must bring professionalism, discretion, and strong organizational skills to the role.

Responsibilities

  • Manage and coordinate Managing Directors' calendars efficiently through Outlook.
  • Handle travel arrangements from planning to booking flights, hotels, and ground transportation.
  • Prepare and submit expense reports for Managing Directors using Concur, ensuring timely reconciliation of corporate credit card transactions.
  • Work closely with staff to keep the team informed of upcoming commitments and responsibilities, following up as appropriate.
  • Accurately record Managing Directors' hours in Agresso to support effective financial tracking and resource management.
  • Prepare and submit conflict memos and request project codes to facilitate engagement tracking and compliance.
  • Review and process vendor invoices to ensure timely and accurate payment to vendors.
  • Assist with client invoice and allocation processes.
  • Update the Pipeline Tracking Tool with current information as requested.
  • Help plan, coordinate, and attend internal or client-facing events as needed.
  • Assist with department and operational activities/projects as needed and perform other work-related duties as required.
  • Occasional travel required.

Qualifications

  • Minimum of 5 years' experience as an Executive Assistant or in Business Operations, preferably within consulting or professional services.
  • Bachelor's Degree preferred in a relevant field or equivalent experience (degree in business-related field a plus).
  • Highly proficient in Microsoft Office Suite, Concur, and SharePoint.
  • Strong interpersonal and relationship-building skills with the ability to support multiple executives with diverse working styles.
  • Excellent written and verbal communication skills with a focus on clarity, thoroughness, follow-through, and confidentiality.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong project management and time management skills with a track record of meeting deadlines and working under pressure.
  • Demonstrated flexibility and a proactive approach to acquiring new knowledge and tackling changing priorities.
  • Flexible to work additional hours as required.
