APPOINTMENT TYPE: This is a Permanent Exempt (PEX) position. This position is excluded by the Charter from the competitive civil service examination process and incumbents are “at will” and serve at the discretion of the Appointing Officer.

Role description

Under general supervision, the Senior Executive Affairs Coordinator will manage the office, supervise staff, and perform analytical, administrative, and project management functions in support of Executive Management (C-Suite).

Essential Functions And Duties Include

  • Oversee day-to-day administrative matters with discretion; manage incoming requests through to completion; monitor the office budget; review complex calendars and assist with meeting preparation.
  • Write, review, edit, and package documents and public records (letters, memoranda, meeting agendas, reports) for executive review and dissemination.
  • Supervise administrative professional staff, including scheduling, SOPs, training, and performance feedback.
  • Develop and recommend policies, procedures, and work practices; implement changes when needed.
  • Perform research and analysis; prepare documentation and concise reports for senior leadership.
  • Coordinate and monitor management programs and projects; use database software and graphics to convey data; assist in developing strategic projects and coordinating meetings.
  • Foster relationships and facilitate communication between Executive Leadership, staff, contractors, vendors, project managers, and the public.
  • Proactively manage domestic and international travel; plan itineraries and meeting schedules; reconcile and process expense reimbursements.
  • Complete other related duties and special projects as required.
  • Perform other functions outlined in the 1844 Job Class Specification.

Minimum Qualifications

Education: Possession of a Baccalaureate Degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education or related fields, or other closely related subject areas.
Substitution: Applicants may substitute up to two years of additional qualifying experience for the required education.

  • Experience: Three (3) years full-time equivalent experience performing professional-level management and/or administrative duties in areas such as program/office/operations management, budget development/administration, development/administration of contractual agreements and/or grants, or related areas.

Note: Applicants must meet the minimum qualifications by the final filing date unless noted. One year of full-time employment is equivalent to 2,000 hours. Overtime hours are not included in the calculation.

  • Excellent communication, writing, and proofreading skills; able to improve the work of others.

  • Advanced Microsoft Office skills; experience with mobile devices and communication platforms; basic troubleshooting of technology issues.
