Job Summary
Responsible for greeting clients and other for the College of Veterinary Medicine; schedule patients and confirm patient appointments; process patient payments and receipts. Works collaboratively with medical staff to assure client satisfaction.
Knowledge, Skills and Abilities
Individuals must possess the following knowledge, skills, and abilities-or be able to demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation, using another combination of skills and abilities.
- Proficiency with computers, including the ability to format documents using Microsoft Word, Excel, and other software required for the role. Familiarity with internet navigation and online tools is helpful.
- Effective verbal and written communication skills appropriate for interacting with patients, staff, students, and healthcare professionals.
- Familiarity with veterinary medical terminology is a plus.
- Ability to operate standard office equipment such as fax machines, copiers, printers, and telephones. Ability to type at a minimum of 40 words per minute.
- Basic math skills.
- Proficiency in English sufficient to perform job duties involving documentation, communication with patients and colleagues, and safety protocols.
- Strong interpersonal skills and the ability to work respectfully and effectively with individuals from diverse backgrounds. Cultural awareness and sensitivity are essential for success in this role.
Required Qualifications - Education:A high school diploma or equivalent (GED) is required. Additional education, training, or experience that provides the required knowledge, skills, and abilities is acceptable.
- Experience: 1-3 years of experience in a similar or related position is preferred. Experience in a clinical medical setting is helpful. Customer service experience is also preferred.
- Other Requirements: Must be at least 18 years old to perform duties involving radiography (X-ray) and exposure to radioactive substances, in accordance with applicable safety regulations.
Preferred Qualifications Essential Job Duties
Key Responsibilities - Schedule patient appointments with the appropriate provider, while accommodating the patient's needs.
Key Responsibilities - Confirm scheduled appointments by contacting the patient one day prior to their physician visit.
- Assist clients, if needed, with completion of registration forms and verify that all paper work is completed.
- Assist outgoing clients by providing all necessary instructions, information, and invoices, dispensing prescription items per the veterinarian's instructions, selling retail products, and scheduling future appointments.
- Collect client payments, issue receipts, and post payments in the College's practice management system. Reconcile the daily cash deposits collected.
- Prepare the daily deposits for checks arriving in the mail, make copies of the checks and deposit slips for the medical billing department.
- Establishes and maintains hard copy and/or electronic files and records.
- Oversees equipment and office supply inventories and initiates or approves service requests and supply orders.
- Performs a variety of clerical duties, e.g., photocopies, collates, distributes, mails, faxes, files, delivers and/or picks up materials from on or off-campus.
- Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time.
