Salary: $169,000/year target

Location and schedule: This is a full-time, onsite role at our San Francisco office in the Laurel Heights area, working traditional business hours (e.g., 8am-5pm).

Reporting structure: This role will report directly to our VP of Operations.

Experience required: At least seven (7) years of progressive people management experience (ideally in an outpatient setting) with a Bachelor's degree in healthcare administration, business administration, or a related field.

We are currently seeking an experienced people manager to join our team in San Francisco as a Senior Operations Manager. This pivotal role will oversee our largest facility with 4 clinical suites, C-Suite + Administration, 10+ physicians, primary care, pediatrics, gynecology, and staff of 40+. This role will directly manage 12 PCA/Patient Care Administrators, demanding the highest levels of professionalism, discretion, and business acumen.

Our Senior Operations Manager should have strong and proven people management skills, excellent interpersonal skills, the ability to adapt to individual needs, and a focus on fostering an inclusive and high-performing team.

Overview:

As the Site Operations Manager, you will be responsible for the overall success of your designated site, ensuring seamless day-to-day operations, delivering exceptional care, and fostering a positive work environment. You will manage Patient Care Administrators, oversee office operations, and collaborate with clinical leadership to uphold our standards.

Responsibilities include:

  1. Operational Excellence: Oversee daily site operations for efficiency and resource utilization.
  2. Staff Management & Leadership: Supervise and manage performance of PCAs, including recruitment, onboarding, training, and performance reviews.
  3. Scheduling & Coverage: Manage staff schedules, PTO, and coverage plans.
  4. Clinical Mission Support: Work with clinical leaders to align operations with clinical protocols.
  5. Member Experience & Retention: Ensure high service standards, address member concerns, and contribute to retention strategies.
  6. Performance Monitoring & Improvement: Identify inefficiencies and escalate issues with proposed solutions.
  7. Clinical Collaboration: Maintain strong relationships with clinical leaders for informed decision-making.
  8. Office Culture: Foster a positive, collaborative, and supportive environment.
  9. Compliance & Safety: Ensure adherence to safety, OSHA, HIPAA, and internal policies.
  10. Staffing Strategy: Analyze staffing needs and develop efficient models.
  11. Budget Management: Oversee the operating budget responsibly.
  12. Quality Improvement: Lead initiatives to improve quality using data and evidence-based practices.
  13. Real Estate & Technology: Maintain office space and technology standards.
  14. Organizational Contribution: Participate in committees, projects, and tasks.

Qualifications:

  • 7+ years in healthcare operations management, preferably in concierge or private practice settings.
  • Bachelor's degree in healthcare or related field; Master's preferred.
  • Strong understanding of healthcare operations, patient service, and compliance.
  • Excellent organizational, problem-solving, and decision-making skills.
  • Exceptional interpersonal and conflict resolution skills.
  • Experience managing budgets and operational costs.
  • Proficiency with Apple products and EHRs.
  • Strong leadership presence and team motivation skills.
  • Member-focused with a commitment to service excellence.
  • Proactive, results-oriented, and adaptable.
