Department : Tenderloin Clubhouse

Budgeted Hours : 25 Hours a Week School Year / 40 Hours a Week Summer

Reports to : Clubhouse Director

Position Purpose

Under the direct supervision of the Clubhouse Director, the Admin Assistant / Youth Development Coordinator primary role is to provide administrative support to the Clubhouse Director and Assistant Clubhouse Director as assigned, primarily focusing on management of attendance and program data. Secondarily, this person will be asked to support daily programs and activities as assigned which may include, but not limited to, school safe walks, snack service, homework help, among other regular activities and services provided by the Clubhouse.

School Year : Monday-Friday from 12pm-5pm (hours can be negotiated to some degree, but this is an in-person Monday-Friday position)

Summer Months (June / July) : Monday from 8 : 30am-4 : 30pm, Tuesday-Friday from 9am-5pm

Key Responsibilities

Data Management - 40%

  • Manage data entry of member, attendance, and volunteer and teen work experience hours in our Salesforce database system.
  • Maintain data accurately and according to prescribed standards and guidelines, including troubleshooting errors in entries and reporting on information by deadlines.
  • Establish systems to ensure staff provide consistently accurate data in a timely fashion, including clearly communicating expectations.
  • Sustain open lines of communication with supervisor and staff regarding areas for improvement, updates to existing systems, and requests for support.
  • Manage membership fees
  • Responsible for keeping the front lobby clean and organized - with current BGCSF Marketing Materials' displayed.
  • Provide parent orientations and give tours when possible / available
  • Parent / Family / New Member Orientations when possible / available

Program Support - 40 %

  • Plan and conduct educational and recreational programs in a Clubhouse.
  • Help youth with homework and tutor, run games, and drop in activities
  • Support educational programs that are stimulating and age appropriate for all members.
  • Provide an environment that promotes creativity and exploration through learning.
  • Safeguard the confidentiality and safety of all members.
  • Promote and stimulate membership in the department ensuring that every Club member participates in some Learning Center activities.
  • Understand and communicate to youth the importance of doing well in school and having a plan for going to college, vocational school, or entering the workforce at age 18.
  • Support site in taking program attendance daily for programs.
  • Work with volunteer tutors and students to participate in an ongoing education improvement program.
  • Support general programming ranging from Safe Walks to Snack Time / Lunch Time to physical recreation time, among others.

Administrative Support - 20%

  • Direct phone calls and email requests
  • Prepare for Clubhouse staff meetings and off-site meetings.
  • Create documents, facilitate communication within the staff team, to the rest of BGCSF, with community partners and parents, etc.
  • Responsible for making sure that all administrative tasks are completed accurately and on time.
  • Work with the Outcomes Measurement Team to build data-based reports
  • Support with tracking Program Requirements by way of MyClubHub reporting

Required Skills

  • Customer Service experience- must be extremely professional and able to resolve all minor conflicts.
  • Experience with database software such as Microsoft Excel.
  • Experience with Google Workplace
  • Must have organizational skills- especially a strong attention to detail.
  • Ability to work in a fast-paced environment.
  • Red Cross First Aid / CPR certification or within 90 days of employment.
  • Experience working with youth ages 6-18 years old in a youth development setting.
  • The ability to create strong relationships with youth in a short period of time.
  • Ability to manage youth behaviors and maintain high expectations.
  • An interest in a variety of youth programs including technology, art, sports, and recreation.
  • Strong positive disciplinary skills with youth.
  • Strong verbal and written communication skills.
  • Demonstrated research and organization skills.
  • Ability to work in a high-paced environment with continual distractions.
  • Flexibility.
  • Strong ability to create and follow systems and procedures.

Preferred Skills

  • Language Skills : Bilingual Spanish and / or Arabic
  • Strong behavior management skills with youth.
  • Strong communication skills with kids, staff, parents and community members.
  • Strong verbal and written communication skills.
  • Ability to multi-task and demonstrate good follow through skills.
  • Strong ability to follow systems and procedures.
  • Ability to use computer software such as Adobe Publisher and Photoshop to design Club specific flyers for recruitment and promotional purposes.

Physical Requirements

  • Must be able to lift 25 lbs.
  • Must be able to stand for at least 2 hours consecutively.
  • Must be able to sit at a computer workstation for long time periods.

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and BGCSF needs. At BGCSF, our decisions are based on other factors and dependent on circumstances for each position. Depending on the need and requirement of the position, an individual could be hired at or near the entry level, mid - level or top of the range for their role and compensation. As such, a reasonable estimate of the current range is $22.00 to $24.00 per hour.
