Title: Stanwood Hall Receptionist

Primary Responsibilities: The Stanwood Hall Receptionist is the "face of the school" at the Broadway Street entrance, which functions as the main entrance to the school. The Stanwood Hall Receptionist is responsible for greeting all guests in person and by phone, keeping a watchful eye on comings and goings, setting a positive tone each day, and exuding the core values of the school.

Hours/Classification: Full-Time Monday through Friday (7:45 a.m.-4:45 p.m. with a one hour lunch); Non-exempt; In-Person

Key Responsibilities:

  • Greeting Visitors: Welcome community members, guests, and vendors with a friendly and professional demeanor, while ensuring that all visitors are checked in and have the appropriate lanyard
  • Information & Support: Provide information to visitors and answer inquiries
  • Answering & Directing Telephone Calls:
  • General Safety: Always be vigilant about who is entering the building; manage alerts with the sign-in system with professionalism; implement emergency procedures whenever necessary
  • Administrative Support: Perform clerical tasks such as filing (electronic and hard copy) and photocopying
  • Daily Mail & Deliveries: Receive and mail, packages, and deliveries and coordinate the pick-up and distribution of these items in a timely manner
  • Reception Area Maintenance: Ensure that the reception spaces of Stanwood are maintained in a clean, organized, and welcoming manner
Additional Responsibilities:
  • Office Supply Management: Monitor school office supplies and order replacements as needed
  • Student & Employee Attendance: Perform an essential part of managing the daily attendance by updating the attendance spreadsheet each morning.
  • Other: Perform other administrative duties and special projects as requested by administrators
Work Schedule and Vacation Policy

This is a full-time 12 month position, thus in accordance with our Employee Handbook, the Receptionist will accrue three weeks of vacation per year. The expectation for this position is that vacation time will be taken during the summer months when camp is not in session. This ensures proper staffing coverage and continuity of operating during critical program weeks. Vacation dates need to be coordinated with and approved in advance by your supervisor.

Required Professional Skills and Experience:
  • Capacity to handle emergent and unexpected situations with poise and efficiency
  • Highly organized with a proven ability to prioritize tasks effectively and manage multiple responsibilities simultaneously
  • Strong verbal and written communication skills for effective interaction with staff, vendors, and other stakeholders.
  • Proficiency in Google Workspace
  • Minimum 3 years' work experience
Preferred Professional Skills and Experience:
  • Bachelor's or associate's degree in business administration, management or a related field
  • Previous experience in a school environment

Physical Requirements:
  • This position is 100% on site.
  • Ability to lift and carry packages and equipment up to 25 lbs.
  • Ability to walk, stand, and perform physical tasks throughout the day.
  • Demonstrate normal depth perception
  • Dexterity of hands and fingers to operate a computer keyboard, operate standard office equipment, and use a telephone
  • See and read a computer screen and printed matter with or without vision aids
  • Hear and understand speech at normal levels and on the telephone with or without auditory aides
Work Authorization Requirements
  • Clear the Department of Justice background screening (Livescan)
  • Authorized to work in the United States (I-9)
  • Provide health (TB) clearance (an update is expected every four years)
