Position Description

The Associate Director of Athletics will focus on enhancing our athletic programs by implementing efficient systems for onboarding coaches, oversee transportation for athletes and be the first point of contact, and regularly update the athletic website with current program information. The Associate Director of Athletics will streamline athletics communication so that all LWHS community members are up to date on the weekly athletics schedule. This role is also responsible for promoting an equitable and inclusive experience for all participants.

Primary Responsibilities:

Onboarding and Compliance

  • Update and manage the HR system to ensure appropriate onboarding of all coaches each season, including reference checks, required training, and certifications.
  • Provide guidance and support to coaches in the development and implementation of practice plans, team dynamics, and game strategies.
  • Assist in recruiting, hiring, and evaluating coaching staff for all sports teams.
  • Ensure compliance with all onboarding procedures.

Transportation Coordination

  • Manage the system for transportation oversight, which includes tracking and communicating all transportation requests.
  • Confirm and communicate transportation schedule and serve as the primary contact for bus companies and coaches
  • Use an online system to order buses and manage transportation requests.

Website and Communication

  • Oversee and update the athletic section of the school website.
  • Ensure all athletic rosters are input into Blackbaud within one week of the season starting.
  • Send the weekly athletic schedule to the community, including a link in the internal weekly employee newsletter (HHH).
  • Inform the LWHS community of the weekly athletic schedule and its impact on academic classes
  • Serve as a liaison between the athletic department and school administration, faculty, parents, and the local community.
  • In coordination with the Communications Manager, update weekly the school bulletins with schedules, scores, photographs, videos, and notices as appropriate.
  • Help promote school spirit and pride through athletic programs and community outreach initiatives.
  • Manage relationships with photographers for team photos and senior banners and updating promotional materials for marketing purposes, signage, and senior celebrations

Sports Booster

  • Coordinate sports kickoffs for each season.
  • Plan and organize sports banquets for each season.
  • Ensure each team has at least one highly capable team parent, with two or three preferred for added support.
  • Set guidelines for team parents
  • Collaborate closely with the athletics department to synchronize the timing of events.
  • Senior Days: Celebrate the seniors by selecting a home game in advance to serve as "Senior Day." Ensure the Director of Athletics is present at the game, and coordinate the event with the coach.

Health and Safety

  • Work with the Athletic Trainer to ensure the health and safety of all athletes during practices, games, and events.
  • Ensure adherence to safety protocols and emergency procedures during athletic activities.
  • Distribute student-athlete medical forms to coaches, highlighting any medical conditions they need to be aware of.
  • In coordination with the Health and Safety Coordinator, ensure athletic physicals (clearance) are updated annually. Coordinate with the Health and Safety Coordinator the trainer and coaches a schedule of athletic physicals.

Administrative

  • Collaborate with the Associate Director of Athletics and the Business Office to manage the Athletics Department budget.
  • Coordination with coaching staffs to maintain records, rosters (including creation of and updating) for all seasons, and partner with AD and Athletic trainer regarding athlete tracking to ensure records are accurate and up to date.
  • Maintains and keeps the current calendar of athletic programming of practices, contests and facilities
  • Performing weekend, evening, or overnight duties as assigned.
  • Support AD with coordination of game management and supervision for athletic contests as required by the BCL-BAC, NCS, CIF, or Lick-Wilmerding High School, as directed by Director of Athletics
  • Perform other duties as assigned.

Qualifications

Qualifications

  • Bachelor's degree required
  • Minimum of three years of experience in high school athletics or a related field with comparable experience At least two years of increasing responsibility in budget, finance, or related management areas
  • Demonstrated knowledge and/or experience with high school athletics
  • Strong leadership, communication (written and oral), and organizational skills
  • Proven ability to manage multiple projects in a fast-paced environment
  • Effective supervision and management skills
  • Initiative-driven and self-directed with the ability to both lead and collaborate
  • Enjoys working with student-athletes and coaches
  • Demonstrates a strong commitment to equity, inclusion, and cultural competency
  • Able to engage and support students from diverse backgrounds
  • Works effectively with multiple constituencies, including staff, students, families, and the broader community
  • Open to feedback and able to incorporate it into practice

Other Requirements

  • Availability to work occasional evenings and weekends as needed
  • Understanding of league and conference rules and regulations
  • Ability to advocate for the athletics program both within and beyond the school
  • Technologically proficient; able to use tools to enhance communication, organization, and department efficiency
  • Personal qualities of integrity, optimism, flexibility, and a sense of humor
