We're seeking an Administrative Business Partner to support 3 executives including our VP of Workplace, VP of Internal Audit, and VP of Sales Performance. You will help keep teams organized, motivated, and efficient by managing complex schedules, fostering relationships, and communicating effectively. A proactive, discreet, and detail-oriented approach is essential for handling diverse tasks and sensitive information.

What You'll Do

  • Partner with leadership, proactively offering solutions to challenges.
  • Manage multiple calendars, resolve conflicts, and coordinate across time zones.
  • Coordinate travel logistics, including flights, hotels, and ground transportation.
  • Handle expense reporting, purchase orders, and financial tracking transparently.
  • Prepare meeting materials, set up logistics, and ensure smooth execution of meetings and events.
  • Schedule and support key meetings, take notes, and follow up on action items.
  • Draft and manage internal communications and email updates.
  • Participate in admin team meetings, share best practices, and assist with onboarding new admins.
  • Maintain organizational charts, track team rosters, and support recruitment and onboarding processes.
  • Track budgets and expenses for events and recognitions, flag discrepancies.
  • Coordinate logistics for onsite/offsite projects and maintain related trackers.
  • Represent the organization professionally internally and externally.
  • Engage with high-profile external stakeholders appropriately.
  • Support various meetings and events to ensure seamless operations.

What We're Looking For

  • 4+ years of administrative experience, including supporting VP and Director level executives for at least 2 years.
  • Exceptional organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Proactive, self-directed, and capable of managing ambiguity with minimal supervision.
  • Proficient in tools such as Google Suite, Slack, Workday, Expensify, Navan, and MS Office.
  • A collaborative team player who sees tasks through to completion.
  • Experience handling confidential information with integrity.
  • Bachelor's or Master's degree in Business Administration or similar, or equivalent experience.

Additional Details

This position is not eligible for relocation assistance. The role requires in-office presence at least once a week in San Francisco, with flexibility. The salary range is $33.65/hr—$69.28/hr USD, and the position is eligible for equity. Final salary depends on experience, location, and skills.
