Administrative Assistant

$25 to $30/hour

Duties:

  • Set up new transactions in Leasepoint, the aircraft management system, ensuring all relevant data is entered accurately from the start.
  • Handle invoicing and billing for various charges, including rentals, maintenance reserves, overdue interest, security deposits, part sales, and rebills, along with any other billing types as needed.
  • Monitor outstanding balances and manage collections for part sales and rebills.
  • Prepare initial maintenance reserve summaries used for monthly calculations, yearly rate escalations, reconciliations, and processing of claims.
  • Support the updating of maintenance reserve summaries and assist with implementing rate changes in Leasepoint.
  • Track and summarize flight hours to determine engine billing rates when necessary.
  • Ensure insurance policies are renewed on time and accurately reflected in Leasepoint.
  • Oversee Eurocontrol processes, such as sending authorization letters, downloading monthly airline statements, maintaining status logs, and coordinating payment information with legal or marketing teams as needed.
  • Generate and distribute reports to lessors, lenders, and lessees on a monthly basis or upon request.
  • Share responsibility for maintaining and managing the Leasepoint system.
  • Follow all relevant company policies and procedures outlined by the Contracts department.
  • Collaborate with cross-functional teams, including Contracts, Finance, Legal, Marketing, Technical, and Accounting.
  • Assist with special projects and take on additional tasks as assigned.

Qualifications:

  • Bachelor's degree, preferably in a scientific and/or a business discipline.
  • Excellent organization, communication, and administration skills.
  • Detail and customer oriented.
  • Resourceful and a self-starter who takes ownership of their assigned responsibilities.
  • Ability to interpret and comprehend complex contract documentation.
  • Ability to prioritize workload and work well under pressure.
  • Excellent analytical and problem-solving skills.
  • Flexible and able to multi-task.
  • Strong PC skills, proficient knowledge of Adobe Acrobat, MS Office (Outlook, Teams, Excel and Word), comfort and willingness to learn and use new computer programs/applications.
  • Experience with Leasepoint Aviation Management System is a plus.
