About the Role:
As the Executive Assistant you will have far-reaching impact across the organization with a front-row seat to the inner-workings of Grocery Outlet. You will be a strategic partner to the CEO, CHRO and other members of the Senior Executive Leadership Team requiring engagement at the business level, a deep understanding of Grocery Outlet's corporate operations, thoughtfulness, confidentiality, and a supreme bias for optimization.

You will support the CEO, CFO and the CHRO. You will manage Board of Directors (BOD) agenda, preparation, and logistics, proactively identifying matters and resolution to those matters whether that be office logistics, business administration, complex planning and calendaring. The ability to gracefully pivot between tasks and responsibilities with ease is a must. As a trusted member of the team, you will be a confidante on all topics relating to strategy, growth, operations, prioritization and feedback. You will be a key stakeholder in both confidential and high-visibility projects across the Leadership Team.

Responsibilities Include:

  • Support the CEO, CFO and CHRO, including heavy calendar management and prioritization, conference room coordination, complex travel, timely expense report submission, expense report review and reconciliation of direct reports, required forms and approvals, and any other tasks needed to maximize team productivity.
  • Represent the CEO by email and phone with internal and external stakeholders including investors, BOD members, clients, prospects and C-level executives and other partners.
  • Plan leadership team offsites, team-building events, analyst/investor visits, and quarterly BOD meetings, including agenda, content, speakers, logistics and budget.
  • Build cross-functional internal relationships, representing the office of the CEO in all facets, but particularly with the direct reports of that office. This will also include partnering closely with other Executive Assistants across the organization.
  • Maintain close partnerships and communication with the VP of Investor Relations, Communications & Events team, Office Experience team, Service Desk team.
  • Board of Directors liaison, including meetings planned at least 2 years out.
  • Vendor and third-party management, including BoardVantage, Enterprise, search firms, etc.
  • Coordinate Senior Executive interviews and candidate logistics.
  • Help to create onboarding plans and assimilation for new Senior Executive leaders.
  • Help the CHRO manage HR workstreams, timelines, meeting agendas, decks, and objectives.
  • Order small and large team meals.
  • Help to maintain distribution lists and org charts.
  • Act as a key partner on special projects.
  • Responsible for ensuring Grocery Outlet maintains a position as a good neighbor and community partner with the City of Emeryville and other local businesses.
  • Adaptable and proactive in both identifying and taking on additionally needed responsibilities as business needs change and grow.
  • In everything, represent Grocery Outlet and the Grocery Outlet team with confidentiality, professionalism, kindness, and efficiency.

About The Pay:

  • Base Salary Range: $100,000 - $130,000 Annually

  • Final compensation will be determined based upon experience and skills and may vary based on location

About You:

  • Bachelor's degree in Business Administration or related field
  • 5-10 years of experience supporting a C-level suite member(s) at a high-growth organization
  • Working knowledge of current business administration tools and technology
  • Proficient event planner with recent experience planning executive meetings and/or offsites, team celebrations or other special company events
  • Organized, detail oriented with strong intellectual horsepower
  • Strong project management experience
  • Strong proficiency working with the Microsoft Office Suite
  • Strong customer focus and is dedicated to meeting the expectations of internal and external customers
  • High level of integrity, can be trusted to maintain confidentiality
