POSITION OVERVIEW

The role of Executive Assistant involves providing high-level administrative support to the CEO and members of the Board of Directors. Reporting directly to the CEO, the Executive Assistant functions in a one-on-one working relationship, serving as a key liaison to the board and leadership teams. This position entails organizing executive outreach, managing external relations efforts, and overseeing special projects. The ideal candidate thrives in a fast-paced nonprofit environment, possesses strong judgment, pays attention to detail, effective communication skills, and excels in administrative and organizational tasks while maintaining balance among multiple competing priorities.

ESSENTIAL FUNCTIONS

  • Calendar Management : Maintain a daily schedule of meetings and events for the CEO, demonstrating meticulous scheduling, contact management, and meeting coordination.
  • Document Preparation : Generate Word, Excel, PowerPoint presentations, agendas, reports, and other documents supporting organizational goals.
  • Travel Coordination : Arrange travel and accommodations efficiently.
  • Adaptability : Thrive in a high-paced environment, undertaking added duties as assigned by executives.
  • Correspondence : Draft internal announcements, board meeting agendas, and communication for organizations the executive is involved with.
  • Contact Management : Manage the Executive's contacts effectively.
  • Presentation Support : Assist in preparing and managing presentations and decks.
  • Communication Responsiveness : Respond promptly to emails, texts, and phone calls, even outside normal business hours.
  • Guest Welcoming : Welcome the Executive's guests in person or via phone, answering or directing queries.
  • Confidentiality : Handle C-Level matters with discretion, confidentiality, and good judgment.
  • Company Representation : Represent the company and the Executive positively through excellent follow-through skills and sound judgment.
  • Time Management : Conserve the Executive's time by proactively reading, researching, collecting, and analyzing information.
  • Ad Hoc Projects : Complete ad hoc projects
  • Calendar Organization : Organize complex calendars and schedules, resolving any scheduling issues.

Qualifications

  • Bachelor's degree required.
  • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally.
  • Flexible hours as dictated by the needs of business for projects and meetings.

POSITION DETAILS

  • Status : Full-Time / Exempt
  • Schedule : Generally, Monday through Friday, 9 am - 5 pm
  • Reports to : Chief Executive Officer
