Job Title: Legal Secretary - Litigation - TEMP TO DIRECT HIRE OR POSSIBLE DIRECT HIRE

Location: Oakland CA very near 12th street Bart Station

A respected firm specializing in labor and employment law, conveniently located near public transportation in the downtown Oakland area, seeks a litigation support specialist. A supportive environment and a strong team-oriented culture are offered.

Position Details:

• Schedule: Full-time work, Monday-Friday, either 8:30 AM to 5:00 PM or 9:00 AM to 5:30 PM is expected. Rare overtime required.
• Initial Onsite Requirement: 5 days per week during training, transitioning to a hybrid model (3 days in-office) upon successful completion of the training period.
• Compensation: $75,000 - $79,000 annually, based on experience, plus a comprehensive benefits package (per collective bargaining agreement) is provided.

Core Responsibilities:

• Administrative support to attorneys and practice groups, including managing calendars, coordinating travel, and handling client communications is to be provided.
• Correspondence via email, phone, and certified mail is to be managed.
• Expenses on behalf of attorneys are tracked and processed, including requests for vendor services.
• Conflict checks and new client/matter setup within the practice management system are to be initiated.
• Assistance with special projects, legal research, and other clerical tasks are expected.
• Preparation, drafting, and finalization of documents including memos, correspondence, and legal filings are required.
• Electronic court filings within State and Federal Courts, maintaining accurate records in the legal database, is to be performed.
• Proofreading and formatting of documents, ensuring accuracy and compliance with firm standards, is to be done.
• The document management system, tracking case-related documents, is to be maintained.

Qualifications:

• A minimum of 4 years of experience in a legal support role is required.
• At least 1 year of experience working in the field of Employment & Labor Law Litigation is ideal.
• A four-year college degree is preferred; however, a high school diploma is required.
• Proficiency with MS Office Suite, document/practice management systems, Adobe Acrobat, and legal billing software is needed.
• Excellent word processing skills with a strong attention to detail are essential.
• Proven time management, professionalism, and ability to thrive in a fast-paced environment are crucial.
• A strong collaborative and team-oriented working style is highly desired.
