POSITION SUMMARY:
The Operations Coordinator is under the direct supervision of the Operations Manager. This position performs general and advanced administrative support duties for the Client Services Department. The incumbent is responsible for accuracy in all applicable procedures, confidentiality, electronic filing, data entry, and serves as the contact person for the department for tribal functions.
Examples of Duties

DUTIES AND RESPONSIBILITIES:

  1. Coordinates and schedules program/project meetings both virtually and in-person. Prepares agendas as directed and compiles meeting materials, sends notices, and may be required to take minutes.
  2. Facilitates new employee onboarding and employee departures.
  3. Oversight of vehicle check-out procedures and mileage logs.
  1. Prepares correspondence, reports, develops forms, and schedules meetings in accordance with office operating procedures. Will utilize Microsoft Word, Teams, Outlook, and Excel.
  2. Supervise receptionists to ensure telephones are answered and calls returned in a timely manner. Ensures receptionist has information needed to direct calls accordingly. Oversees and delegates clerical tasks to receptionists.
  3. Coordinates and oversees the purchasing and check processing for CSD. Provide fiscal data entry training to team members. Maintains and completes purchase order as necessary.
  4. Maintain department calendar of absences, activities, and meetings.
  5. Prepare fiscal travel advances for the department.
  6. Makes fiscal reconciliation for department director and managers. Ensures appropriate documentation is submitted to Fiscal.
  7. Maintains filing system. Develops new filing systems as needed.
  8. Performs data input. Reviews data and develops reports as necessary.
  9. Responsible for department office equipment. Will set-up repair and replacement as necessary. Work with vendors to ensure maintenance agreements are honored. Also maintain department inventory.
  10. Produces account balances for Director and Program Manager on a regular basis upon request.
  11. Always maintain strict confidentiality.
  12. Performs other related duties as assigned.

Typical Qualifications

EDUCATION/EXPERIENCE:
  1. Grade 8: Bachelor's degree in related field with one year job specified experience.
  2. Grade 9: Bachelor's degree in related field with two years job specified experience. Employees must be willing to acquire any special certifications or attend any training that is determined to be relevant or becomes required of the position in the future.
  3. Candidates with equivalent combinations of education, training and experience will be considered.

MINIMUM QUALIFICATIONS:
  1. Prefer applicant to have excellent computer skills that include Competence in Microsoft programs such as outlook, excel, word, etc.
  2. Knowledge of English, grammar, spelling, punctuation, and a variety of letter and report formats in order to prepare correspondence and reports.
  3. Ability to keyboard 40 words per minute.
  4. Experience working with little or no supervision.
  5. Advanced knowledge of general office management skills.
  6. Advanced knowledge of budgets, financial spreadsheets, reporting, policy and procedure, and fiscal processes.
  7. Must understand the meaning and responsibility of confidential information.
  8. Ability to communicate effectively with co-workers, superiors, the general public, Council, and representatives of public and private organizations.
  9. Ability to set priorities, meet critical deadlines, and review information for accuracy, format, completeness and compliance with the policies and procedures.
  10. Energetic, forward thinking and creative with high ethical standards and an appropriate professional image.
  11. Knowledge and understanding of local Tribal communities including cultural values and beliefs, history, family systems and community.
  12. Recognition that in order to serve Yurok People one must know as much as possible about Yurok history, culture and values.
SUPERVISORY RESPONSIBILITIES:
Performs the full range of supervisory duties and responsibilities. Plans work of subordinates based on priorities, nature of assignment. Develops work performance plans and evaluates performance of subordinates. Provides advice, instruction, and guidance to subordinates on work and administrative matters. Effects minor disciplinary actions and determines developmental training needs of employees.

  7. Position could require travel and occasional work outside of regular work schedule.
