**Job Description:**

**POSITION OVERVIEW**

Take calls to sell and book hotel reservation and assist guests with inquiries regarding, golf, dining and spa bookings as needed. Act as PBX for guest inquiries from hotel guests, internal team members and all incoming calls. Direct all calls from guests and team members in a professional and friendly manner to the appropriate department. Handles guests messages and requests. Book room reservation via Opera Cloud and utilize other Ranch LB systems for guest inquiries, requests. Cross train and assist at Front Desk Operations when needed.

**Duties and Responsibilities:**

* Handle inquiries and book reservations for Rooms at The Ranch at Laguna Beach, Ben Browns Golf Course, Sycamore Spa & Harvest restaurant.

* Process all incoming reservations received via phone, rooming lists, or in-house correspondence, housing bureau forms, email or facsimiles.

* Mail confirmation and literature requests or reply via email or facsimile when requested.

* Other duties as assigned including completion of the various administrative tasks outlined in the Daily Report Checklist.

**SUPPORTIVE FUNCTIONS:**

In addition, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of The Ranch:

* Block special request reservations and suites.

* Maintain a clean and well-organized workstation.

* File daily reservations and other correspondence.

* Complete daily Checklist.

* Answer questions concerning reservations for team members of other departments including but not limited to Sales & Catering, Golf, Spa and Executive Office.

* Follow established emergency procedures when handling calls of an emergency nature, or in a state of natural disaster.

**Experience and Skills:**

**Requirements for the Position**

**Education and Licensing:**

High school or equivalent education required.

**Skills and Experience:**

1 to 2 years experience Front Desk or Reservations Agent at a Hotel / Resort environment preferred. Customer Service and multi-line telephone experience ideal. Opera (PMS) system knowledge desired.

**Grooming:**

All team members must maintain a neat, clean and well-groomed appearance per The Ranch standards.

**Competencies:**

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

* Must be able to speak, read and write the primary language(s) used in the workplace.

* Must have excellent verbal and written communications skills.

* Working knowledge of Excel and Word.Ability to solve problems and make rational decisions.

* Good cognitive skills are essential.

* Ability to work at a computer for 8 or more hours per day, while answering the phone and typing information.

* Good working knowledge of The Ranch, its services and facilities.

* Perform additional duties as necessary and assigned by management.

**Physical Demands:**

* Most work tasks are performed indoors. Temperature generally is moderate and controlled by The Ranch environmental systems.Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required. Length of time of these tasks may vary.

* Must be able to lift up to 15lbs on a regular and continuing basis.

* Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.

* Talking and hearing occur continuously in the process of communicating with guests, supervisors and other team members.

* Vision occurs continuously with the most common visual functions being those of near vision and depth perception.

* Ability to spend extended lengths of time viewing a computer screen.

* Requires manual dexterity to use and operate all necessary equipment.

* Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.

**Other:**

Regular attendance is essential to the successful performance of this position. Irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the fluctuation in business levels in the hospitality industry, employees may be required to work varying schedules to reflect the business needs of The Ranch. In addition, attendance is required at all scheduled training sessions and meetings.

Upon employment, all employees are required to fully comply with company rules and regulations for the safe and effective operation of The Ranchs facilities. Employees who violate The Ranch rules and regulations will be subject to disciplinary action, up to and including termination of employment.
